We collect only the personal information reasonably necessary to run our business, process orders, communicate with customers and meet our legal obligations.

When you place an order or send an order request, we collect:

• your chosen PAXI collection point, including the town and province;
• any delivery or collection instructions;
• the products you order;
• information about your order status and any customer-support requests.

2.2 Messages and enquiries

When you contact us through our website or by email, we collect your name, email address, any other contact details you provide, and the content of your message. We use this information to answer your enquiry, resolve problems and provide customer support.

2.3 Technical information

Our website hosting provider may automatically collect technical information in standard server logs, such as your IP address, browser type, device information, access times and the requests made to our website. We use this information where necessary to keep the website working, monitor performance, investigate technical problems and protect against security threats.

2.4 Information stored on your device

2.5 Payment information

All payments are made through PayFast. We do not ask for or store your card or banking details on our website: you enter your payment details on PayFast’s secure payment page, and PayFast processes them under its own privacy and security practices.

We receive limited payment information from PayFast, such as confirmation that a payment has been made, where we need it to process and manage your order.

3. How we use your personal information

We use personal information only for specific, lawful purposes:

• Processing orders: to receive, confirm, manage and fulfil your orders.
• Delivery: to send your order to your chosen PAXI collection point.
• Payments: to arrange payment and confirm that it has been received.
• Customer support: to answer enquiries, resolve complaints and help you.
• Legal compliance: to keep the tax, accounting and other records the law requires.
• Security and fraud prevention: to protect our website, investigate suspicious activity and prevent fraud, abuse and spam.

4. Marketing communications

Luxé Parfums does not send promotional or marketing messages. If we introduce newsletters or other marketing in future, we will only send them in line with the law, including asking for your consent where required, and every message will tell you how to unsubscribe.

We share personal information only where necessary to run our website, fulfil orders, process payments or comply with the law, with the following parties:

5.1 Website hosting provider

Truehost hosts our website and delivers the forms you submit on it to us. Technical information and the information you submit through our forms may be processed by Truehost as needed to provide these services.

5.2 Delivery provider

We deliver through PAXI (PEP). To send your order, we share your name, mobile number and chosen PAXI collection point with PAXI.

5.3 Payment provider

All payments are processed by PayFast. To process your payment, PayFast receives your order reference, the amount due and the contact details needed for the payment, and handles your payment details under its own terms, privacy policy and security procedures.

5.4 Email and communication providers

We use email and communication services to receive your enquiries, reply to you and manage business correspondence.

5.5 Legal and regulatory disclosures

We may disclose personal information where the law requires or allows it, in response to a lawful request, or where necessary to establish, exercise or defend legal rights.

We require service providers who process personal information on our behalf to protect it appropriately and to meet their legal and contractual obligations.

6. International transfers

Some of our service providers may process or store personal information outside South Africa, including in the United States. Where personal information is transferred outside South Africa, we take reasonable steps to make sure the transfer complies with section 72 of POPIA — for example, that the recipient is subject to adequate legal protection or binding agreements, or that another lawful condition applies — and that your information remains protected.

7. How long we keep your information

We keep personal information only for as long as reasonably necessary for the purpose it was collected for, to meet legal obligations, resolve disputes and protect our legitimate interests. For example:

• Order and accounting records: for the period required by tax, accounting and other laws.
• Customer enquiries: for as long as needed to answer the enquiry and deal with any follow-up.
• Technical and security logs: for a reasonable period needed for website security, troubleshooting and investigations.
• Browser preferences: until you clear them, as explained in our Cookie Policy.

When we no longer need personal information, we securely delete, destroy or de-identify it, unless the law requires us to keep it for longer.

8. How we protect your information

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, misuse, alteration, disclosure or destruction, including:

Luxé Parfums is intended for adults. You must be at least 18 years old to place an order.

We do not knowingly collect personal information from children under 18 without the authorisation the law requires. If you believe that a child has given us personal information, please contact us and we will take appropriate steps in line with the law.

10. Your rights under POPIA

Subject to the conditions and limits set by law, you have the right to:

• Access your information: ask whether we hold personal information about you, and for access to it.
• Correct your information: ask us to correct or update information that is inaccurate, incomplete, out of date or misleading.
• Request deletion: ask us to delete or destroy your personal information where the law allows.
• Object to processing: object to us processing your personal information in the circumstances POPIA provides for.
• Withdraw consent: withdraw consent where we rely on it. This does not affect processing carried out before you withdrew it.
• Complain to the Information Regulator: if you believe your personal information has been handled unlawfully.

We may be required to keep certain information to comply with the law or to establish, exercise or defend legal rights.
